### Destination & justification for choosing this location?
|
||||
The International Conference on Social Media and Cloud Computing (ICSMCC-25) is being held in Berlin on the 24th and 25th of May.
|
||||
This conference is a research based conference where we expect our members to gain an increased understanding of the cutting edge of some of the topics covered in UL.
|
||||
It will also provide our members with international networking opportunities.
|
||||
|
||||
The city also hosts an impressive collection of technological based museums, to know where we (and technology) is going we must first know where we have been.
|
||||
These cover everything from early mechanical computers, to technology used during wartime and the cold war, right up to near modern day.
|
||||
|
||||

|
||||
#### Can this be done locally? (Saying yes does not mean the trip won’t be approved):
|
||||
No

||||
#### If yes, why select a location abroad?
|
||||
ICSMCC and its content is not easy to find in Ireland.
|
||||
Additionally Ireland does not have a long history with tech, this translates to us having no tech based museums.
|
||||
|
||||
#### How will this trip upskill/enhance training and the Clubs and Socs experience of members?
|
||||
Our primary reason for the trip is to attend an industry/academic conference which will provide an experience they cannot be obtained in Ireland.
|
||||
Aside from that Berlin is home to many museums which cover many aspects of computer history, from early mechanical days, to use of computers in the cold war to more modern such as the fledgling computer games industry.
|
||||
The museums that we have picked showcase some fascinating exhibits on computing and technology.
|
||||
Some other museums and exhibits we plan to visit are to inspire and learn about the history of technology and computing.
|
||||
|
||||
#### How does this link to your club or society?
|
||||
We are Computer society, so attending a conference on cloud computing is right up our alley.
|
||||
That is not even mentioning how wartime, specifically the cold war helped propelled computing forward.
|
||||
|

#### Is this the first time this trip is proposed?
|
||||
Yes this is the first time this trip has been proposed.
|
||||
|
||||
We saw how successful our trip was in 2019 and because of being unable to go for the past few years with COVID we wanted to up the trip capacity again this year.
|
||||
From a quick gauge of interest in the society it seems like we have a lot of interest for the trip.
|
||||
This has made us decided to go from 15 to 20 spaces on the trip.
|
||||
|

|
||||
We will be sending out an email to all members and advertising this event on our Discord and Instagram page.
|
||||
We also plan to have an information meeting and presentation.
|
||||

|

Sign up will be via Wolves.

|
||||
All candidates must be in good standing in the Society.
|
||||
In certain cases the committee reserve the right to refuse admittance.

#### What is the breakdown (Undergrad, Postgrad, Alumni, Other) of the different membership types?
|
||||
At least two thirds of the available twenty spaces on the trip will be reserved for undergraduate/postgraduate UL students who are members of the society.
|
||||
The other third will be offered to other Computer Society members (e.g. alumni or external members) but higher preference will be given to undergraduate/postgraduate students.

The trip will roughly cost €15165, broken down by flights, accommodation, transport and museum tickets for 20 people.
|
||||
Should the society cover ~€7000 the cost for the individual will be ~€400, see the table below for more information.
|
||||
|

Funding from the Computer Society portion will be from our savings as well as some of the sponsorship we have obtained this year.
|
||||
On top of that we have yet to submit some of the capitation requests for our earlier Irish trips.
|
||||

### Health and Safety
|
||||
#### What is your Health and Safety Plan for the trip?
|
||||
Consent training is required for committee members attending.
|
||||
As part of an information meeting which will be held before we depart on the trip we will discuss safety with each member of the society that is attending the trip.
|
||||
We will also ensure that every member of the group has a European Health Insurance Card and a valid passport.
|
||||
|
||||
#### Who will have overall responsibility for safety?
|
||||
Committee members, with Brendan having the overall responsibility.
|
||||
|
||||
#### For certain trips, especially clubs, is there a competency level that members must achieve before signing up for the trip?
|
||||
All members must attend an information meeting which will be held before we depart on the trip.
|
||||
|
||||
#### Do you need to carry out first aid, a health and safety briefing or specialized training in order to maximise your time on the main training trip?
|
||||
We will designate a committee member who is attending the trip to carry a first aid kit before we depart on the trip.
|
||||
The first aid kit will be carried by that individual at all times while we are on the trip.
|
||||
No specialised training should be required for individuals to partake in this trip.
|
||||
|
||||
#### Who is responsible for training on the trip? Are they external or internal to the club or society? What is their qualification to coach?

We intend to get guided tours for many of the museums that we visit.

This is a total of a eight day trip after the Spring exams finish in May.

## Visas
|
||||
|
||||
Ensure you have at least three months until the expiry date of your passport to be allowed out and back.
|
||||
This applies to everyone with or without a visa.
|
||||
|
||||
### Germany
|
||||
From Dublin to Germany, non-EU Citizens will require a Schengen visa to enter.
|
||||
Similar to earlier, EU Citizens do not require a visa to be allowed entry into Germany.
|
||||
Schengen visa applications can be submitted six months at the earliest and 15 days at the latest ahead of the trip.
|
||||
To begin with applying for a Schengen visa, the applicant must first schedule an appointment with the German Embassy in Dublin by following the steps outlined on their service partner's [website][Visa_German_Embassy_Appointment_Booking_Link].
|
||||
You will need your passport number for booking the appointment.
|
||||
|
||||
After scheduling an appointment, the applicant must then physically come to the embassy to lodge their application, the required documents for a Schengen Tourism visa can be found [here][Visa_German_Embassy_Appointment_Documents].
|
||||

|
||||
|
||||

For any other documents that might be required depending on your citizenship, They can be found by searching your country in the ["Harmonized List of Supporting Documents" page][Visa_Harmonzed_List_Page].

In addition you will also need to pay a fee of 90 EUR to process your visa.
|
||||
After processing the visa it will take approximately 15 days, assuming no complications arise, to make a decision on if you are to be issued a visa.
|
||||
The applicant can then choose return to the embassy to get their passport back with the German visa on it or choose a courier option to a preferred address.

# Report
|
||||
This report is to encompass all which went well as well as what could be better.
|
||||
|
||||
## What went well
|
||||
### Accommodation
|
||||
Kiez Hostel was just fantastic.
|
||||
|
||||
I had asked if we could leave our bags on teh first day when we arrived in Berlin (we were arriving in at 11:00-12:00 and checkin was 17:00-19:00).
|
||||
Instead they allowed us to check in when we arrived!
|
||||
They didnt have to do this but they did.
|
||||
|
||||
We did have access to a kitchen and fridge.
|
||||
|
||||
Toilets/Showers were also really good.
|
||||
Hot water was plentiful and we had 4 bathrooms we could use. (1x female, 1x male, 3x gender neutral).
|
||||
|
||||
They had lockers in teh room we could use.
|
||||
|
||||
Location was also really good, near the train station (and tram/bus) but on a quiet street.
|
||||
|
||||
They also allowed us to leave our luggage there on teh last day after checkout as well as being able to use the common area to regroup before we headed to teh airport.
|
||||
|
||||
#### Recommendation
|
||||
Go there again, no arguments against it.
|
||||
|
||||
One issue was that in our shared room one person set an alarm for 05:30, 05:45, 06:00 which rang for two mornings, and didnt get up then.
|
||||
We had to tell him to knock it off on teh second morning.
|
||||
|
||||
### Public Transport
|
||||
The public transport in Berlin was amazing.
|
||||
Getting teh 7 day pass for €52 was fantastic.
|
||||
It allowed us to ride _**all**_ the public transport jsut by getting onto teh vehicle.
|
||||
There was no need to tap on or off, just by _having_ the ticket gave us the right to do so.
|
||||
|
||||
#### Recommendation/Reminder
|
||||
To make the ticket valid it must be stamped to be validated.
|
||||
While we were never checked ourselves going between zones B and C is where the most checks happen.
|
||||
The fine is €60 if its not validated and may include calling the police.
|
||||
|
||||
### Paper copies of all documents
|
||||
All copies of the tickets were printed off (aside from teh return flight tickets) before we went to Berlin.
|
||||
This helped us immensely since we werent relying on digital devices who's battery could fail.
|
||||
|
||||
#### Recommendation
|
||||
Print off all the tickets ye can before travelling and put them in a folder.
|
||||
Use the files on nextcloud as a backup, you can sync files to have a local copy if needed
|
||||
|
||||
### Museum Pass
|
||||
It got us into the three museums we wanted to (Technik/Spectrum/Communication) at an overall reduced cost and provided the ability go go into 27 other ones for free.
|
||||
|
||||
#### Recommendation
|
||||
Since the pass is only valid for 3 days offer to folks to renew it for another 3 days later in teh trip when there is free time.
|
||||
|
||||
### Food/Drink
|
||||
Food in Berlin was pretty good and cheaper than the same option in Ireland.
|
||||
We were in a quarter with a lot of nationalities, leading to a diverse range of food options.
|
||||
One quirk of this was that the region we were in was full of vegan options.
|
||||
|
||||
The kebabs were all fantastic, like amazingly good.
|
||||
|
||||
Alcohol was cheap (<€3 per bottle) and freely available, to teh point where shops would have a bottle opener on the drinks cooler.
|
||||
Drinking in public is also legal so it was common enough to get a drink and go for a wander around the city.
|
||||
Remember to leave teh bottles under a bin to allow folks to collect the return value.
|
||||
|
||||
Cans of monster were merely €0.77
|
||||
|
||||
#### Recommendation
|
||||
* Try everything ye can.
|
||||
* Inform folks before going that they may not be able to find "Irish" foods
|
||||
* Bring cash.
|
||||
|
||||
## What didnt go well
|
||||
### Late planning
|
||||
Although some of the initial planning was done last summer the bulk of the planning was left until Christmas 2024.
|
||||
The final sign off of approval was late March early April, which gave us little time to get folks to sign up to the trip.
|
||||
|
||||
#### Recommendation
|
||||
Do most of the planning in summer in order to get approval early and start advertising it in Semester 1.
|
||||
|
||||
### Visas
|
||||
Germany was (in practice) not issuing Schengen visas via the Irish embassy.
|
||||
They had 0 appointments available for folks to book, meaning no-one who didnt have an EU passport (or an equally permissive one) were able to get the required visa.
|
||||
|
||||
#### Recommendation
|
||||
If it is advertised in Semester 1 then international folks may be able to obtain teh visa in time, if its Semester 2 it may be too late.
|
||||
May be different for various countries.
|
||||
|
||||
### Numbers
|
||||
We had 9 of the planned 20 people join us for the trip.
|
||||
Some of this can be explained due to Visa issues (outlined above) as well as the late planning.
|
||||
Some folks who had initially expressed interest subsequently made alternative plans.
|
||||
|
||||
#### Recommendation
|
||||
Honestly 9 folks was pretty decent taking into account the previous two issues (Visa/ lack of time).
|
||||
If advertised earlier I would easily expect it to get up to 15 folks without issues.
|
||||
|
||||
### Overbooking the Flight
|
||||
Due to the fear of not getting teh flights at a reasonable price if we left it until later and that they may be sold out we pre-booked 20 seats.
|
||||
|
||||
#### Recommendation
|
||||
Still a good idea to pre-book, thought might be better after deposits are taken for a better grasp of numbers
|
||||
|
||||
## What to do better
|
||||
### Flights
|
||||
Aer Lingus was teh right choice for airline due to teh fact it gave us nearly two extra days in berlin due to flight times over Ryanair.
|
||||
|
||||
However we were on the basic price which was grand but "cost" us in two things.
|
||||
* No Carry on
|
||||
* Online Check In was 48 hours before flight
|
||||
|
||||
Adding an extra €30/person (at most) would have allowed us to Check in two weeks before the flights which would have meant we could have had paper copies before departure.
|
||||
it would have also allowed us to have better grouping of seats on teh flight as well as permitting us carry on luggage.
|
||||
|
||||
Having carry on would have also prevented an issue when we arrived back in Dublin where a member of the trip picked up the wrong suitcase leading to spending teh next day returning it and obtaining their own one.
|
||||
|
||||
#### Recommendation
|
||||
If possible pay the extra for ``Plus`` instead of teh ``Saver`` we went for.
|
||||
Going as a group may allow ye to get it at a cheaper price.
|
||||
|
||||
### Cash
|
||||
Germany/Berlin still operates heavily on cash, to teh point where it felt like a complete culture shock.
|
||||
Most shops still accept card, but normally set a minimum of €5 or €10.
|
||||
Additionally many places only accept German cards for contactless.
|
||||
|
||||
Tips are normally 10%.
|
||||
|
||||
Toilets normally have someone in charge of them and they expect ~€0.50 for their use.
|
||||
|
||||
#### Recommendation
|
||||
Bring cash and find a local ATM that ye feel safe using.

The trip to Berlin is scheduled for May 21st to May 28th, 2025.

||||

||||
The trip is organized by the UL Computer Society and is open to all members.

||||
We'll be visiting various tech-related sites and events in Berlin, including the Hardtech Innovation Demo Day 2025 and The Berlin AI Conference 2025.

||||
The trip is a great opportunity to reach out and look at the tech scene in Berlin, meet new people, and learn about the latest trends in technology.

SISTEM is Ireland's most student tech conference, run (almost) every year by volunteers dedicated to spreading the word about new, exciting developments in the field and inspiring the next generation of hackers, innovators, and entrepreneurs.

SISTEM is a conference for students, by students.

||||
It stands for "Student Inter-Society Technology and Enterprise Meetup."
|
||||

CompSoc is helping organize SISTEM, a tech conference about technology, what else would it be about?
|
||||
|
||||
SISTEM (the Student Inter-Society Tech & Enterprise Meetup) is Ireland's largest tech conference organized by students for students, with the mission to inspire the next generation of tech.
|
||||
It is the only student-run tech conference in Ireland, and one of very few student-run tech conferences in the world.
|
||||
SISTEM is organized by a collection of student societies from across the island of Ireland, including us at UL Computer Society, UCD Netsoc, DCU Redbrick, DU CSS, TUD Compsoc, DU Netsoc, MU CSS, UCC Netsoc, QUB Compsoc, and NUIG Compsoc.
|

The event's going to feature talks, panels and interactive workshops with a variety of guest speakers from LERO and industry, and we encourage you guys to join!
